Administrative Assistant for Worship and Liturgy

Position Description: part-time (20 hours/week), non-exempt

Principal Focus: The Administrative Assistant for Worship & Liturgy assists the Canon to the Dean with the planning, scheduling, coordination, implementation, and assessment of all activities related to all worship services at Trinity Cathedral.

Principal responsibilities and duties

  • Assist in development and maintenance of liturgical calendar for the church year
  • Assist in development and maintenance of the clergy service schedule for all worship services
  • Ensure timely, efficient, and effective coordination of schedules for all constituencies that contribute to worship services (e.g., Clergy, Music Department, Altar Guild, Flower Guild, Acolytes, Vergers, Ushers, Greeters, Lectors, Eucharistic Visitors, Docents, Sextons, etc.)
  • Oversee development, production, and distribution of all printed and digital materials related to worship services, including weekly service bulletins, lections, intercessions, servers schedule, etc.
  • Participate in staff meetings dedicated to planning and assessing worship services

Secondary responsibilities and duties

  • Assist in planning and implementation of special services (baptisms, weddings, funerals, etc.), including preparation of printed and digital materials
  • Assist in maintaining liturgical appointments and supplies
  • Liaise as needed with other departments regarding the scheduling of services and activities in the cathedral, Seibels Chapel, and Keenan Chapel
  • Assist as needed with organization, upkeep, and arrangement of worship spaces
  • Other related duties as assigned

Interactions with other departments

  • Ensure timely, efficient, and effective communication between departments and groups involved in worship, including Clergy, Music Department, Altar Guild, Flower Guild, Acolytes, Vergers, Ushers, Lectors, Eucharistic Visitors, Docents, Sextons, and others
  • Liaise with Communications Department staff regarding the production and distribution of printed and digital materials related to worship and liturgy
  • Liaise with external service providers (funeral homes, wedding vendors, etc.) as needed
  • Liaise with members of the public regarding matters pertaining to worship and liturgy

Skills and requirements

  • Demonstrated history of excellent organizational and communication skills
  • Demonstrated history of effective use of digital media and communication (word processing, e-mail, desktop publishing, etc.)
  • Familiarity with Anglican worship, including The Book of Common Prayer (1979), The Hymnal 1982, and supplemental materials (BOS, LFF, WLP, LEVAS, etc.)
  • Position is part-time, and requires some service on evenings and/or weekends
  • Position requires some lifting and may require some driving
